Online Registration sites and General Websites

Exhibition and Event Services will design your website whether it is a simple online registration site for an exhibition or a more complex conference website.

Our in-house development team will work with you to achieve just the look and functionality that is appropriate to your event. All sites are branded and the system automatically issues unique barcodes to event visitors who register online. In addition we can email unique barcodes to any database that you plan to use as a pre-registration database.

Online Registration with Payment Portals

Exhibition and Event Services custom built online registration sites can be linked to a secure payment portal enabling delegates to pay for the event with their credit cards or via EFT. Invoices are automatically generated from the website. Exhibition and Event Services will provide daily reports showing deposits and credit card payments.

Online Ticket Sales

If you are planning a consumer event where visitors are required to purchase tickets, Exhibition and Event Services will design and develop a website for you so that visitors can buy their tickets online. A confirmation barcode will then be sent to the purchaser via PDF or SMS. This barcode will be scanned in when the visitor accesses the event.

Electronic Cash Management for Consumer Events

When you are holding a consumer exhibition or an event that requires the purchase of a tickets at the venue, Exhibition and Event Services can offer an electronic ticketing service onsite at the venue. Some of the many benefits include knowing exactly how many tickets have been sold at any given point as well as full financial reporting in the form of a proper transaction log showing all transactions. If you have used the online ticket purchase service, all cash terminals will be able to issue pre-bought online tickets.

ATM Hire

EES will organise an ATM/Smart Box onsite at your event in order to bank cash taken onsite or arrange for an ATM to be placed inside the venue so that visitors can draw cash.

Accept & Decline HTML Invitations

Exhibition and Event Services will design Accept and Decline Email Invitations which allow invitees to simply click on a green button for accept and a red button for decline. The system will generate messages to the invitees confirming their response. If the invitee accepts, he will automatically be taken to a pre-populated registration site where he can complete the demographics required. Clients are able to have access to the back end at all times to monitor response to the invitation.

Full RSVP Delegate Management and Event Help Lines

If you have an event requiring follow up on delegates who have not responded to the invitation, Exhibition and Event Services will activate their in-house call centre. Our skilled staff will follow up on delegates who have not responded and update the online database with the result of the phone call. Furthermore we can provide an Event Hotline after taking a detailed brief from client to ensure that the correct information is being disseminated to delegates who phone in for information or help.

Email & SMS Campaigns

Exhibition and Event Services can take care of all your Email or SMS Broadcast requirements. We use our online system to send professional, branded, personalised emails to any database. These emails can contain images, text and barcodes.

Onsite Registration

Exhibition and Event Services have completed in excess of 700 registration events South Africa, Zimbabwe, Kenya and the UK. Events can range from as little as 70 pax to as many as 30 000 pax.

EES will provide all the IT equipment and trained technicians to set up the registration network onsite. Our registration staff are well trained, friendly and professional. In addition, EES will set up a ‘fast track registration booth and self service booths area for visitors who have registered on the internet where they will be scanned in.

Registration is fast and accurate and we can provide our clients with real time reporting as to number of visitors registered and who has arrived. After the event we will generate a detailed database of attendees and no show delegates. After an exhibition we will generate an in-depth visitor analysis based on the event demographics as well as forwarding you our unique filter programme enabling you to easily pull lists based on your event demographics.

Photo Identification Registration

Exhibition and Event Services offers a full Photo Identification registration service for those high profile events which require added security. Registration tags can be card, PVC, watermarked or can contain holograms for additional security. This can be executed in real time onsite or offsite.

Onsite Access Control

Should you be planning an event that involves restricted movement for delegates, Exhibition and Event Services provides various solutions including bar code and RFID technology to effect access control. The system will also generate an attendance list.

Database Management

EES uses a web based invitation and database management system that will enable you to keep your databases “live’ and updated using simple reminder emails to individuals reminding them to update their contact details.
Exhibition and Event Services will house your databases and provide a data filtering service using all your old databases.

Online Banquet Seating

If you have planned a dinner you will know how difficult the table seating arrangements can be with guests arriving with uninvited friends, no shows and people who arrive but have not RSVPed. By using our simple but effective seating programme, organizers can allocate seats at specific tables, see where there are open seats, block off seats, move guests from one table to another and prevent duplicates.

Data from the programme can be streamed live to plasma screens outside the banqueting hall showing guests where they are seated.

Online Meeting Scheduling System


The Meeting Scheduling System is a web based system used to schedule meetings between two parties at an event. Each company/individual is allocated a diary page with time slots for meetings. The length of the timeslots can vary from event to event. Interested parties are matched up and a timeslot selected that is available for both parties. The system uses a central database so once the meeting is added to both diaries it is visible to anyone using the system..

Each participant can be emailed a copy of their diary along with the contact detail and descriptions of the companies that they are meeting with. Meeting summaries can be printed for the organizers, showing total number of meetings scheduled, number of meetings per company etc.

Scanners

Exhibition and Event Services has a variety of scanners available for rent to either exhibitors or for access control. In addition we have scanners that can read barcodes presented on mobile phones. Exhibitors that hire scanners can access their data online.

 

Continued Professional Development (CPD) Points

Exhibition and Event Services can manage the entire process on your behalf – from registering your event for CPD points to tracking all Delegate attendance and finally issuing the attendance certificates.

Video Registration

Using either RFID or bar-coded badges with an entrance that is access controlled, Exhibition and Event Services can video your guests as they arrive at an event and beam the images along with the names of the guests to plasmas placed in various locations onsite. Alternatively we can just scroll the names up on plasma screens with a welcome message.

Event Staff

Exhibition and Event Services can provide you with all your event staff, including ushers, hostesses, registration staff, stand hostesses, organisers office assistants, security, MIBs (men in black), and so on.

Event Consumables

Exhibition and event services can supply all the consumables necessary for your event including, badges, lanyards, plastic pouches, wrist bands, glow stick bands, pins, PVC cards with magnets, stamps etc.

WiFi Spots / Business Centres

EES can set up business centres with WiFi, scanners, photocopiers, laptops and printers.

Computer and IT Rental

You can rent laptops, printers, plasma screens, i-Pads and other IT related items from us for short term rental or long term rental.

Post Show Visitor Analysis

After an exhibition or an event we clean the data. Our analysis reports are comprehensive and accurate. The reports include hourly attendance, regional and international breakdowns, contact detail analysis and analysis of all the demographic options.
